The following updates to the Beacon system were made on 8/31/12

New Additions

 Updates

Members of the Success Network (Advisors and Peer Advisors) can now create updates about their students directly from the student page.  Updates can be used to keep a centralized notation source about intervention activities and conversations with a student.  When creating an update staff may choose the audience who is able to see the information provided as well as if they’d like to allow the student to see the update.  Members of the Success Network will receive email notifications of new Update activity.

 Alerts

When enabled, the Success Network (Advisors and Peer Advisors) can now create alerts about their students directly from the student page.  Alerts can be used to notify the Success Network of issues or causes for concern.  Alerts must be responded to by another Success Network member through a “lowering” action which will inform the author of the Alert that action has been taken. Members of the Success Network will receive email notifications of new Alert activity.

 Email Preferences

Updates and Alerts generate email notifications to the Success Network.  Network members have the opportunity to adjust their email preferences from their user profile within Beacon and through a special “Modify Email Settings” link contained in each email.  By default Update and Alert emails will be delivered to Success Network members in digest form every 24 hours.  Network Members may also set their email preferences to “Immediately” or “No Email” to customize their notification experience.

 Email Privacy Message

From the “Settings” area administrators can now add a message at the bottom of each email that is sent out regarding Alerts and Updates that may include information about the campus’ privacy policies or FERPA compliance, so that Success Network members are notified of their responsibilities around student privacy.

 Required Profile Fields

All users that hold a role in Beacon above “Student” will now be required to complete basic profile information before using the system for the first time.  This profile information adds context to students and allows the system to send email to users.  The following fields will be required:

  • First Name
  • Last Name
  • Email Address
  • Title
  • Department

 Campus Logo on Survey

Administrators can now include a logo image on the administration of an assessment to customize the experience for students.  Please submit your logo by creating a help ticket above.

 Maintenance Updates

  • Refreshed Student and Success Network printed reports
  • Student demographic information added to advisor report
  • Added additional Advisor profile information for use with success profile
  • Added unique ID reference on connections import page
  • Refreshed the mailing group descriptor text
